Occurrence Diary

Daily site occurrence records, operational events, and diary entries.

The Occurrence Diary module enables users to record and track daily site occurrences, operational activities, observations, and incidents. From the main dashboard, navigate to Occurrence in the top navigation menu, then select Occurrence Dairy from the dropdown to access this interface.

Upon clicking Occurrence Dairy, the system presents two main options:

  • List Occurrence — View and manage all recorded occurrence diary entries with search and filter capabilities.
  • Create Occurrence — Add a new occurrence diary entry.

9.2 Occurrence Diary

The Occurrence Diary section is used to record and track daily site occurrences, operational activities, observations, and incidents. Click on List Occurrence to view the search and filter interface.

Search and Filter Options

Users can search and filter occurrence records to quickly locate specific entries based on available criteria:

  • Sites — Filter records by site location using the dropdown selector.
  • From Date and Time — Select the start date and time for the search period (required field).
  • To Date and Time — Select the end date and time for the search period (required field).
  • Employee Name — Search occurrence records associated with a specific employee.

After applying the desired filters, click Submit to display matching records. Click Reset to clear all filter selections. Use Download All to export the filtered occurrence data directly.

Occurrence Diary List

The occurrence diary list contains the following information for each record:

  • Date — Date of the occurrence entry (e.g., 15-06-2026).
  • Time — Time of the occurrence (displayed in hours, e.g., 1208hrs).
  • Subject — Associated occurrence subject (e.g., test01).
  • Site — Site or location where the occurrence took place (e.g., White Guard).
  • Created By — User who created the occurrence record (e.g., whiteguard).
  • Diary — Detailed description of the occurrence (e.g., egewradrber).
  • Deletion Reason — Reason provided if the record is marked for deletion.
  • Status — Current status of the occurrence entry, displayed as a color-coded badge (e.g., Open).
  • Action — Management options for each record.

Record Actions

Each occurrence record in the list includes two action buttons:

  • Edit — Modify occurrence details (pencil icon).
  • Delete — Remove the occurrence record from the system (trash icon).

Additional List Features

The occurrence diary list includes the following utility features:

  • Entries per page — Use the dropdown at the top-left to select how many records to display per page (default: 10).
  • Search — Use the search box at the top-right to quickly find records by keyword.
  • Export — Download the filtered occurrence records in your preferred format using the export dropdown.
  • Pagination — Navigate between pages using the Previous and Next controls at the bottom-right, with the current page number highlighted.

9.3 Create Occurrence

The Create Occurrence feature allows users to add new occurrence records to the diary. Click on Create Occurrence to open the occurrence creation form.

Occurrence Details

When creating a new occurrence entry, users are required to provide the following information:

  • Employee Name — Name of the employee associated with the occurrence (required dropdown).
  • Site Name — Location where the occurrence took place (required dropdown).
  • Created By — Name of the person creating the entry (required field).
  • Date & Time — Date and time of the occurrence (required field with calendar picker).
  • Day — Day on which the occurrence occurred (auto-populated based on date, e.g., Monday).
  • Subject — Predefined occurrence subject category (required dropdown, populated from Occurrence Subject list).
  • Diary — Detailed description or notes about the occurrence (required text area).

Submitting a New Occurrence

  1. Click Create Occurrence.
  2. Select the Employee Name from the dropdown.
  3. Select the Site Name from the dropdown.
  4. Enter the Created By name.
  5. Set the Date & Time using the calendar picker.
  6. Verify the auto-populated Day field.
  7. Select the appropriate Subject from the predefined list.
  8. Enter the detailed Diary description.
  9. Review the entered details.
  10. Click Submit to save the occurrence record. Click Back to return to the list without saving.

Once submitted successfully, a success notification "Success! Occurrence Dairy Created" appears, and the new occurrence entry is added to the Occurrence Diary List with an Open status, becoming available for future reference, monitoring, and reporting.

9.4 Edit Occurrence

To modify an existing occurrence record, click the Edit icon (pencil) in the Action column of the occurrence list. The Edit Occurrence form opens, pre-populated with the existing occurrence data.

Make the necessary changes to the occurrence details, then click Submit to save the updates. Click Back to cancel and return to the list.

Upon successful update, a success notification "Success! Occurrence Dairy Updated" appears, confirming the changes have been saved.

9.5 Delete Occurrence

To remove an occurrence record from the system, click the Delete icon (trash) in the Action column of the occurrence list.

A confirmation dialog appears displaying the occurrence details (Date: 15-06-2026, Time: 1208hrs) and prompting for a deletion reason. Enter the reason for deletion in the Reason field, then click Delete to confirm removal. Click Close to cancel the operation.

Upon successful deletion, a success notification "Success! Delete Occurrence Updation Succeed" appears, and the occurrence is removed from the list.

Note: This module helps maintain a structured record of daily site activities, operational events, and noteworthy occurrences, ensuring accurate documentation and effective site management across all locations.
